Question 1

What is FormFlow?

Accepted Answer

FormFlow is software for contractors and small businesses. Form an LLC if you need one, then run customers, jobs, invoices, payments, and books from the same login — on a computer or a phone.

Question 2

Who is it for?

Accepted Answer

Trades and small operators: plumbers, electricians, HVAC, roofers, general contractors, and similar crews. If you invoice customers and want the money, jobs, and books in one place, it is built for you.

Question 3

Can I form an LLC?

Accepted Answer

Yes. Formation is included: questions, name check, documents, filing payment, and a status tracker. If you already have an LLC, skip formation and go straight to the workspace.

Question 4

Can I connect my bank?

Accepted Answer

Bank connections are coming to FormFlow. When they are available, you will connect accounts here — FormFlow will never show a bank as connected until that connection actually works.

Question 5

Can I send invoices?

Accepted Answer

Yes. Solo includes 50 invoices a month, Team 250, Growth unlimited. Those limits are enforced when you create an invoice — not only in the menu.

Question 6

Can customers pay me?

Accepted Answer

Yes. Each invoice gets a payment link. Customers pay by card through Square. FormFlow applies a 1.5% processing fee from your plan. The invoice is marked paid only after the payment is confirmed.

Question 7

Does FormFlow keep the books?

Accepted Answer

Yes. Every plan includes a double-entry ledger. Paying an invoice updates accounts receivable, cash, Home, and the tax estimate together.

Question 8

What does it cost?

Accepted Answer

Solo is $39/month (1 seat, 50 invoices). Team is $149/month (2–5 seats, 250 invoices). Growth is $300/month (unlimited seats and invoices). Every plan includes 1.5% payment processing on invoices you collect. Plan checkout also itemizes Square’s card processing fee (3% + $0.30) before you pay.

Question 9

Is there a free trial?

Accepted Answer

Yes, when you sign up through the “14-day free trial” popup or /signup?trial=1. You choose a plan and save a card with Square — you are not charged until day 14. Cancel in Billing before then to avoid the charge. After the trial, renewals continue on your saved Square card.

Question 10

Can I cancel?

Accepted Answer

Yes. Cancel in billing. You keep access through the end of the month you already paid. If list prices rise later, existing customers stay on their original rate.

Question 11

Is my financial information secure?

Accepted Answer

Yes. Traffic uses TLS (HTTPS). You sign in with a secured session. Card payments go through Square with PCI-aware tokenization — FormFlow does not store full card numbers. Bank connections use Plaid and never store bank passwords. The app runs on Vercel; data lives in managed Neon Postgres. Full details: /security

Question 12

Who helps keep FormFlow secure?

Accepted Answer

Specialized platforms used across the industry: Square for cards, Plaid for banks, Vercel for hosting, and Neon for the database — the same class of providers trusted by major companies worldwide. FormFlow adds role-based access, rate limits, and password confirmation for sensitive money actions.

Question 13

Does FormFlow file my taxes?

Accepted Answer

The Tax Center tracks income, deductions, and estimates from your books. Actual filing is a separate $450 add-on, completed by a licensed provider. Paying that add-on does not mean the return was filed.

Question 14

Can I manage more than one business?

Accepted Answer

Each login runs one workspace today. Support for switching between more than one business is on the roadmap.

Question 15

How does billing work if a payment fails?

Accepted Answer

Plan charges bill on the 1st. If a recurring payment fails, FormFlow stops invoicing and accounting access for that workspace immediately and emails you and the admin — hosting stops right away until the plan is active again.
